This position is located at the Department of Mental Health, Division of Inpatient Services, Forensics department, 7901 Farrow Road, Columbia, SC 29203

As the Administrative Specialist B, working under minimal supervision of the Administrative Coordinator I, Forensics Division, you will serve as the Scanning Coordinator for the Division of Inpatient Services (DIS).  Coordinates the document imaging process; ensures the migration into Team IA record keeping system; performs quality improvement on imaged documents; performs quality assurance and quality improvement tasks on the indexing of documents and accuracy of migration into Team IA. After scanning, acts as an intermediary in obtaining approval for the destruction of medical records.

Responsibilities include but are not limited to:

  • Coordinates efforts of scanning and indexing for Bryan Psychiatric Forensics.
  • Trains employees (permanent, temporary, and/or volunteers) within the Health Information/DIS areas in the prepping, scanning and indexing functions. 
  • Conducts routine Quality Assurance analysis of scanned and indexed documents. 
  • Provides timely document imaging for BPH Forensics. 
  • Prepares and processes medical information for scanning into the Team IA record keeping system. 
  • Assigns the appropriate indices to the scanned images. 
  • Scans medical information into the Team IA system. 
  • Flags scanned records for destruction; maintains database of scanned medical records; ensures destruction date is in compliance with the SCDMH Directive on Retention of Medical Records.
